How to Compress a PDF for Email
Learn practical ways to reduce PDF file size so you can attach and send PDFs by email.
Check the email limit first
Many email services limit attachments to around 20 MB or 25 MB. Before compressing, check the file size and the upload limit so you know how much smaller the PDF needs to be.
Use a PDF compressor
Upload the file to a free PDF compressor and download the optimized copy. If the file contains scanned images, compression may depend on the image quality inside the PDF.
Remove unnecessary pages
If the PDF contains extra pages, split the PDF first and keep only the pages you need. Removing pages can reduce size without lowering quality.
Use a sharing link for very large files
If the PDF is still too large, use cloud storage and send a secure sharing link instead of forcing it into an email attachment.
Choose the safest compression path
If the PDF is mostly text, start with a normal optimization setting because text documents often become smaller without much visible change. If the PDF is a scan or photo-heavy report, the file size is usually inside the images, so stronger image compression may be needed. Clean the PDF before compressing
Compression is not the only way to reduce size. A document with blank pages, duplicate scans, or unrelated attachments can be smaller and clearer after cleanup. Remove unnecessary pages with Remove Pages, fix sideways scans with Rotate PDF, and keep only the pages the recipient actually needs. A cleaner file is easier to read and often compresses better.
When to split instead of compress
Sometimes an email limit is strict and the PDF still stays too large after compression. In that case, split the document into smaller parts with Split PDF. For example, send the main form as one attachment and supporting documents as another. This is useful for school submissions, job applications, medical forms, and bank documents where the final upload must stay below a fixed size.
Check readability at normal zoom
After reducing file size, do not judge the PDF only from a small preview. Open it at 100 percent and zoom in on small text, stamps, barcodes, tables, and handwritten notes. If the file looks too blurry, go back to the original and use a lighter setting. The best compressed PDF is not always the smallest one; it is the smallest file that still does the job clearly.
Use links only when email is not enough
If a file contains many high-resolution pages, email may not be the right delivery method. Cloud links can work better for very large reports, portfolios, or scanned records, but check the sharing permission carefully. If you still need one clean document before uploading to cloud storage, combine related files with Merge PDF and compress the final copy.
