Why use this tool?
Add a watermark that looks intentional
A watermark should protect or label a document without making it hard to read. Keep the text short, choose a color with enough contrast, and lower the opacity when placing it across the page. Common watermarks include Draft, Confidential, Sample, Paid, Approved, or a company name. If your document is already busy, use a lighter watermark or place it in a corner instead of across the center.

Font size should match the purpose. Large watermarks are useful for drafts or samples, while small watermarks work better for brand names and internal document labels. Test the downloaded result at normal zoom and phone zoom. A good watermark is visible enough to communicate its message but gentle enough that the main document remains easy to read.
Watermark workflow for business and school files
For business files, a watermark can help distinguish drafts from approved versions. For school files, it can identify a sample worksheet or personal copy. For freelance work, it can mark a preview before final delivery. If you need to combine several watermarked files, apply the same settings across each file or merge them first with Merge PDF and watermark the final document.
Do not use a watermark as your only security method for highly sensitive files. It is a visual label, not encryption. If you need to restrict opening a file, use Protect PDF when appropriate, and still avoid uploading private documents anywhere unless you understand how that tool handles data.
Using watermarks without damaging the document
A watermark should support the document, not fight it. Before placing one, look for signatures, totals, table columns, and official stamps. Put the watermark away from those areas or lower the opacity so the original information stays clear.
For draft documents, a center watermark is fine because the label is meant to be obvious. For brand labels or internal copies, a smaller corner watermark usually looks cleaner and keeps the page professional.
