Page numbers make long PDFs easier to follow, especially reports, assignments, manuals, contracts, and application packets. Choose a position that does not cover existing text. Bottom center is common for reports, bottom right works well for business documents, and top corners can work when the footer already contains important information.

Preview the PDF before downloading so you can confirm that numbers are not placed over signatures, stamps, tables, or scanned edges. If pages are sideways, use Rotate PDF first. If the document includes extra blank pages, clean it with Remove Pages before adding numbers.

Font size and position tips

Use a small but readable font size. Page numbers should guide the reader, not dominate the page. Dark gray or black usually works best on light pages. If your PDF has dark backgrounds, choose a lighter color or place the number in a clean area. For scanned pages with uneven borders, preview every few pages to make sure the position remains visible.

If you are preparing a formal document, keep the same number position across all pages. Consistency looks professional and makes references easier, such as see page 12 or review page 4. If the PDF has a cover page, decide whether the cover should be numbered or whether numbering should start on the next page.

Best workflow for numbered PDFs

Finalize the PDF before numbering. Merge separate files with Merge PDF, reorder pages with Organize PDF, remove unwanted pages, and then add numbers at the end. This prevents gaps, repeated numbers, or numbers that no longer match the final sequence.

After downloading, open the result and check the first few pages, middle pages, and last page. If a number overlaps content, adjust the position or font size and run the tool again. For documents that also need a watermark, add numbers after the watermark if the watermark is large, or before it if the watermark is light and does not cover the footer.

For short two-page files, numbering may not be necessary.
